Key on-call information
For those participating in the on-call rota, these shifts will be clearly identified on your individual rota within Loop.
If you are scheduled for a long-day on-call shift, you should commence the day at your base site before responding to service requirements. If you are working a night shift, you can base yourself at the site that has a rest room - for Nottingham this is in Highbury Hospital / Hopewood Hospital and Mansfield this is in Sherwood Oaks / Blossomwood.
On-call duties take priority during these shifts. Clinics should therefore be cancelled, and you should be treated as supernumerary within your base clinical area.
You may be called to attend the on-call site at any point from the start of your shift and will be expected to make your way there as soon as possible. It is important to note that if you are called while already performing clinical duties, you will need to use your clinical judgement as to how you manage this and prioritise appropriately. If there is an emergency and you are unable to attend (because you are dealing with something clinically urgent elsewhere) then please talk to the team about calling the emergency services in your absence.
It is key to note that you should aim to complete all on-call duties whilst on shift, trying to minimise handover to the next on-call doctor. In exceptional circumstances this may be unavoidable in which case it is your responsibility to handover to the next doctor.
Any cross-cover arrangements or additional requirements will be communicated at the start of the shift.
Accessing your on-call rota
All on-call rotas can be accessed via Loop, our online rostering system. Information on how to create your account can be found (link the Loop tile)
To access Loop from a desktop/computer
- Go to this web address - RLDatix Loop
- Using the sign that you will have created - please see here if you need to create an account.
- You will then be able see your rota in the rostering - you can also view the Team roster in this location.
To access Loop from the phone app - please download the app to your device
- Log into the app via the same log in that you have created - please see here if you need to create an account.
- Click the calendar button at the bottom of the screen - you can also view the Team roster in this tab.
Swapping Shifts
If you are unable to work your rostered shift it is your responsibility to arrange a swap with one of your colleagues.
There are groups set up on Loop to support with you shift swapping - these can be found in the following areas
- On the desktop version - home page > lefthand side > groups
- In the App - Menu > Spaces > groups
The Medical Workforce team will only arrange cover for shifts when you are absent from work due to sickness or any urgent personal issue, e.g., sudden serious illness of a family member.
Bank Shifts (Formally known as locum shifts)
Bank shifts are sent out via Loop, these are updated regularly, and it is recommended that you check the app regularly if you are wishing to pick up bank shifts. If you would like to undertake bank shifts, please book these on the app as soon as possible to avoid disappointment.
Last minute bank shifts, within 24 hours of the shift, will be sent out via email from the Medical Workforce Enquires and will be booked manually.
Please note: Cancellation within 24 hours of the shift will be record for audit purpose.
If you are experiencing any difficulties booking bank shifts, please inform the medical workforce Officer via medicalworkforceenquiries@nottshc.nhs.uk.
Bank claim forms can be requested from the workforce team.
Please note there are 2 different forms:
- Training doctors employed by the Trust, GP trainees and SFHT F2s and
- NUH F2s.

- It is essential that you handover to the next doctor on-call.
- This should usually be done face to face.
- You can check who is on-call before and after your shift on Loop.
If the handover is not able to take place face-to-face, please contact switchboard who will be able to put you in contact with the next duty doctor.
All handovers should be recorded on the SharePoint even if there is nothing to handover. This recording is absolutely fundamental to protecting your professional practice and patient safety (including recording instances where there is 'nothing to handover').
It is a good practice requirement of the General Medical Council, NHS England and this Trust.
Declaration of Additional Work
When undertaking any additional medical work (as defined by the GMC), including bank shifts, please ensure that:
- All work is accurately recorded and fully declared on your Form R in advance of your ARCP
- You maintain a clear personal record of all additional work undertaken
In addition:
- Bank work must not be done during periods of sick leave.
- Bank work must not be done during your rostered hours.
- You should not take on bank shifts that require you to travel during your working hours.
- You should not take on bank shifts that delay your start to your normal working hours in your placement.
- Doctors working LTFT should follow the specific guidance on bank work below.
- FY1 doctors should not work FY2 level bank shifts.
These expectations are in place to ensure patient safety, support your training, and help you remain compliant with GMC requirements. If you are unsure about any aspect of additional work or how it should be declared, please speak with your Education Supervisor in the first instance.

Meals / refreshments provided out of hours: meal ordering is on a call off basis, details are within the Doctors' On-Call Room and Resident Doctors Office of how to order together with a list of available food.
The Highbury site is divided into two parts:
- It has many inpatient areas, including: (Cherry Ward, Redwood 1 Ward (Male), Redwood 2 Ward (Female), Rowan 1 Ward (Male), Rowan 2 Ward (Female), Silver Birch Ward, The Willows - Mental Health Intensive Care Unit/PICU) AND

Meals / refreshments provided Out of hours: meals are being supplied within the Doctors' bedroom in Perinatal along with tea and coffee.
Hopewood provides support for children, young people, pregnant women and women with a baby up to one year old who are experiencing mental health difficulties.
Hopewood includes the first dedicated specialist eating disorders inpatient service and first Psychiatric Intensive Care Unit (PICU) for young people in the East Midlands.
Hopewood is also home to a range of community CAMHS and perinatal services.

Sherwood Oaks is Nottinghamshire Healthcare's new purpose built hospital for people experiencing acute mental illness which opened in December 2022.
The hospital has 70 beds across four, single sex wards providing single person ensuite accommodation and includes a hospital-based place of safety (Section 136 Suite) for people over the age of 18.
There is also plenty of outdoor and dedicated therapy space. Work began on the allotment area in Spring 2023, located in the hospital grounds and the creation of a further therapeutic area in which a wild meadow, fresh vegetables and seating areas will be developed by patients, staff and volunteers.
Patients have moved to Sherwood Oaks from Blossomwood at Kingsmill Hospital as it undergoes a redevelopment programme, and from Ward B2 at Bassetlaw Hospital, which has now closed.
Sherwood Oaks offers improved environments for patients, their families and carers and the staff who provide services. Now, any adult from the local Mid Notts and Bassetlaw area who needs an inpatient stay will be referred to Sherwood Oaks.
Trainees are required to provide support to both Sherwood Oaks and Blossomwood Unit during the 9 - 5 on-call period.
During the out of hours period, the duty doctor will be based at Sherwood Oaks and Blossomwood will be covered by a locum doctor.

Taxi information
You are only permitted to book taxis in exceptional circumstances (e.g. for reasons of personal safety) or if you don't have an independent means of transport and need to move quickly between sites during working hours or when on call out of hours.
On no account should you book taxis in order to commute between your home and your work base other than when you are on call.
If you have cause to use a taxi for work, you will need to book and pay for this yourself and then claim this back using the expenses system.
Please note that you must first gain prior approval to use taxis on each occasion (* if you are using taxis for a period of on call shifts approval will be granted for the whole period of shifts) from the Medical Workforce Team (medicalworkforceenquiries@nottshc.nhs.uk) to ensure that the taxi use can be appropriately approved and an audit retained of usage.
If prior approval is not given the expenses will not be approved for payment.
