The Temporary Staffing team will contact you to collect your ID badge.
Activation of your Trust computer account
You will be contacted by Temporary Staffing once your Trust email and IT access have been set up. The temporary staffing team will send a new starter email containing all the necessary information including an IT ticket number that the bank worker will need to use to call IT and active the account. This must be done on trust computer.
RiO log in details
RiO training is part of the induction training, the training must be booked via eAcademy.
RiO Log in details - Once the training is completed, the log in details are sent to work email.
If the RiO system is not used in 6 months, the RiO training will need to be completed once again, to reactivate the account.
The RiO training will need to be booked via eAcademy, and the bank worker will need to notify Temporary staffing so they can email the RiO team to reactivate their account.
Once you have completed your Rio Training and activated your Trust IT account, you can email RIO- localservices@nottshc.nhs.uk from your Trust email account requesting your Rio log in details. This cannot be done from a personal email.
Smart card
We will have requested an application for a smart card for you. You should receive the online application from the registration authority. Please ensure this is completed in a timely manner, if there are any issues with the application, the registration authority will advise you of this and how to rectify it.
The smart card will be posted to your home address. If this has changed since joining the trust or completing the application, please let us know.
Once you have received your smart card it will need to be activated, instructions on how to activate your card will be included from the RA team however, you can also see the 'how to activate my smart card' section of this guide for instructions on this also.
Once activated, please email Nursebank your smart card ID number for access to be assigned.
Staff that are on a visa restriction or have an issue with the application (unable to upload documents, or application being rejected) they must attend a face-to-face appointment with the Registration Authority Team.

How to activate your smart card
To activate your smart card, you will need the use of a trust computer. You can use the computers in the library at DMH.
Unlock smartcard - Self Service Unlock Smartcard - Care Identity Management - NHS.UK
- Enter your smart card into the reader
- Click on 'get security code'
- Enter your new passcode / PIN when prompted
- Your smart card is now activated
ESR access
Once you have activated your Trust email account you should email esr.supportteam@nottshc.nhs.uk from your trust email account requesting access to view payslips. This cannot be done from a personal email.
Booking shifts / LOOP
You will be given access to our new platform LOOP. The system used to view and book shifts at Notts Healthcare.

If you are a healthcare assistant or registered nurse, you will be able to view and book all shifts available to you through this either on a computer, or on your phone. If you are another staff group, you will be able to view the shifts you have discussed with your placement manager so that you can see when you're booked, validate shift times and ensure you're being paid correctly.
LOOP support
1. Log in using the username and password you were provided with.
2. On the first screen, you can view your personal roster calendar including any shifts you have booked at the moment.

3. The green boxes highlight your booked shifts.

4. The menu on the left side of the screen gives you access to:
- Record your availability
- View and book available bank duties
- See your bank timesheets
And, if you also have a permanent contract with the Trust, you are able to book annual leave and request shifts against your substantive role.
5. If you click' Available Bank Duties' you will see a list of all of the available shifts you can work, like this:
Make sure you check the shift times and the icon in case a service has left specific information for the person on the shift, as there may be important notes about the shift here. Also ensure you check the shift times and that you will be ready to start, at the designated time.
6. Bank workers can also book into shifts that are out to agency - you will always have preferential access to shifts vs external agency workers. Shifts with this icon on the left are out to agency, but you can still work them by booking online.
- Simply click the button to book onto a shift.
- You will then be asked to confirm that this is definitely the shift you would like to work:
- If the shift is booked, you will see a green message at the top.
- It will also be visible on your main roster page.

Cancelling shifts
You need to contact either Temporary Staffing Bank Team:
- During office hours: Monday to Friday 8am - 4pm
- Out of hours: Monday to Friday 4pm- 8pm, Saturday 9am - 12pm, or the ward directly outside of these office hours.
Please ensure where possible cancellations are communicated at least 24 hours before the start of the shift.
Timesheets and payment
You will be paid a month in arrears, for example if you work shifts in March you will be paid for them in April.
You get paid on the 26th of the month, unless this falls on a weekend or bank holiday in which case you will be paid on the last working day prior.
You will get paid for your training providing you have worked a bank shift.
Timesheets are electronic and these are processed by your ward managers or nurse in charge.
Sickness and being signed of work
If you are unwell and need to cancel your shifts please contact the team right away. If you have been signed off sick by your GP, please forward your sick note to the Temporary Staffing Team at the earliest opportunity.
You may be entitled to Statutory Sick Pay and the team need to know in order to record for payment.
Uniform
- Mental Health Area: Your uniform is black shoes or trainers, black/dark blue trousers and either a light Blue (qualified roles) or teal / turquoise (HCA) short sleeved polo shirt or tunic with NHS logos.
- General Health Area: A uniform for qualified colleagues consists of a metro blue in colour tunic. Health Care Assistants consists of an aqua in colour tunic. You should also wear black/dark blue trousers and either black shoes or trainers.
- Roles with no designated uniform (For example, some administration roles): Where a specific uniform is not provided it is expected that you are smartly dressed and follow the Trust's Dress Code and ID Badge Policy.
Upon commencing work, a member of the team will contact you to arrange collecting your uniform.
E-Learning and training
To access E-Learning you must have your Trust computer log in details and have requested your ESR access.
To activate eLearning account, you must have your Trust computer log in details and have access to eAcademy.
The induction team will send an induction information package which will contain instructions on how to register on eAcademy.
Once the account gets approved by the eLearning enquiries team, the bank worker will be notified via email that they can access the eAcademy.
It's important that the bank worker, during the registration process use a personal email. If a work email is used, when resetting the password, the bank worker won't have access to reset the password outside of work.
Please note that Yahoo emails cannot be used to register as they have been blocked due to IT security. If it applies to you, please create a new email address using Gmail or Outlook.

Accident / Incident reporting
If you have an accident whilst at work or you are involved in any incidents, accidents and near misses it's a legal requirement that they get reported. Please make sure that you complete an IR1 form which is available electronically by accessing the Ulysses Incidents icon on your desktop.

If you have any concerns, queries, or worries whilst you are at work it is usually best to raise them directly with the team leader or ward manager whilst you are on shift. They will be able to listen to your concerns and take any action needed.
If you do not feel able to raise these concerns directly with the team leader or ward manager, please contact one of the Nurse Advisors or the Temporary Staffing Team as soon as possible so that any issues can be managed appropriately and resolved.
